Business

Business: the money side of haulage

Everything in Fleet, plus trips and proof of delivery, trip profit, invoices and money owed, and trip advances and the ledger. For anyone who invoices customers, such as a transporter.

KES 2,500 per asset a month

Prices are in Kenya shillings, for each asset each month. A second tracker on the same asset, as a backup, costs nothing extra.

Who it is for

Business is for anyone who invoices customers, such as a transporter who does not only move goods but bills for them. You take an order, send a truck, deliver, and invoice the customer, and you want to know whether each trip made money.

At that point the tracker is a small part of the picture. What you need is each trip tied to its truck, its driver, its costs and its customer, so that the money you are owed and the profit you made are in front of you and not reconstructed at the end of the month.

What you get

Business is Fleet plus the money side of a trip. Everything on the Fleet and Track pages is included. Here is what Business adds, and why it matters.

Everything in Fleet, plus

  • Trips and proof of delivery

A trip ties an order to a truck and a driver, and proof of delivery shows that the goods arrived. A customer who disputes a delivery can be shown a photo, a signature and a place.

  • Trip profit

Once you enter what a trip earns, you can see what it made after its costs. It tells you which routes and customers pay and which only keep trucks busy.

  • Invoices and money owed

Invoices come from proof of delivery, and you see what each customer owes. It saves the end-of-month hunt for who has not paid.

  • Trip advances and the ledger

Drivers are given money for the road, and it has to be recorded. Advances sit against the trip, and the ledger keeps the books in one place.

Still being built

Trips and proof of delivery, trip profit, invoices and money owed, and trip advances and the ledger are still being built. The parts of Fleet and Track that Business includes work as described on their pages. Ask us what is ready when you sign up.

How it works day to day

Day to day, a trip is the unit of work. You open an order, assign a truck and a driver, and the trip runs. The map shows where the truck is. When the driver delivers, proof of delivery is collected. The invoice follows from that, so you do not retype it.

At the end of a trip you can see its cost, its income and its profit. At the end of the week you see which customers owe you, and for how long. Advances given to drivers sit against the trip they were for.

Alerts reach you in the app without a limit, and by email. Your SMS alerts are one pool of 500 a month for the whole account, shared by all your trucks.

An example

Picture a transporter with twenty trucks

Imagine a transporter with twenty trucks who hauls for a handful of regular customers. Twenty assets. At KES 2,500 each the plan costs KES 50,000 a month, with one pool of 500 SMS alerts for the whole account.

A customer sends an order. The dispatcher assigns a truck and a driver and gives the driver an advance for the road. On the day, the owner watches the truck on the map. When it arrives, the driver collects the proof of delivery. The invoice is made from it. At the end of the week the owner opens money owed, sees two customers late, and calls them with the proof of delivery in hand. Trip profit shows him that one route, though busy, barely covers its costs, and he raises the price.

What it costs

Business costs KES 2,500 per asset a month. A second tracker on the same asset costs nothing extra. The plan includes one pool of 500 SMS alerts a month for the whole account, and unused SMS do not carry over. Alerts in the app and by email have no limit.

Hardware is separate. Keep the tracker you already have and it costs nothing here. If you need a new one, ask us.

When to move up or down

Moving up

Business is the largest standard plan. If you need links to your accounting systems, single sign-on, or service levels in writing, or your fleet is large, ask for a custom plan. It is made from the features you list, with a price and payment terms agreed with you.

Moving down

If you do not invoice customers from the trips, Fleet at KES 1,500 per asset a month holds everything but the money side. Moving down turns off the parts the smaller plan does not hold, but does not delete them, and they come back when you move up.

Add-ons that suit it

These add-ons suit Business best.

  • A segment pack for your kind of haulage, such as proof of haul or van sales, costs between KES 200 and KES 500 per asset a month.
  • Business includes 500 SMS alerts a month for the whole account. A large fleet with many alerts may want more.
  • Alerts to WhatsApp, counted apart from SMS, for dispatchers who work from WhatsApp.
  • Managed data: we keep each tracker's SIM in data for you, so a truck on a long route does not go quiet.
